Why is ASAM hosting the 55th Annual Conference in Grapevine, Texas?

ASAM has always rotated the annual conference location around the nation to create more accessible and inclusive educational opportunities for physicians, clinicians, researchers, and policymakers to connect, learn, and inspire. ASAM last held its Annual Conference in Texas in 2015, and in 2016 selected Dallas/Grapevine, TX as the host city for a future annual conference. Its centralized location and proximity to the 2nd largest international airport in the United States makes it accessible to ASAM’s diverse audience.

How does ASAM select the sites for its Annual Conference?

ASAM evaluates potential sites based on space requirements, accessibility, venue quality, affordability, and other factors. There are currently a limited number of hotels that are large enough to accommodate an event the size of ASAM’s conference. While all destinations are considered, some potential sites are prohibitively expensive or have contractual requirements that ASAM cannot meet, which reduces the number of viable sites. ASAM must contract hotels of this size 5 or more years in advance.

How will ASAM create a welcoming and safe environment at ASAM 55th Annual Conference?

ASAM is committed to creating a welcoming and inclusive conference environment both in-person in Grapevine and on-demand in the ASAM eLearning Center.

Currently, ASAM maintains a growing list of resources and services available to conference attendees on the Community page of the conference website. Please let us know if there are alternative resources you would like us to explore to provide an inclusive event experience. Furthermore, all ASAM event participants are expected to treat others with respect and must agree to follow the ASAM Event Code of Conduct.

The Gaylord Texan’s Security team’s mission is to provide a safe and friendly environment for everyone. Hotel security maintains 24-hour security, overseeing all public areas, concourses, back-of-house areas, parking lots, and related exterior grounds. ASAM will work closely with hotel security to ensure that ASAM attendees feel safe while at the conference.

Will ASAM consider relocating the ASAM 55th Annual Conference?

No, it is not feasible for ASAM to relocate the ASAM 55th Annual Conference. There are limited hotels in the nation that are large enough to accommodate our conference. Hotels are booked years in advance and have decreased capacity in 2024 due to pent-up, post-COVID demand. Additionally, ASAM would incur substantial penalties and fees which would ultimately impact our members. An event cancellation of our size would also negatively impact workers in the service industry who are employed for large-scale conferences both at the hotel and in the surrounding community.

Will there be a virtual option for people who do not feel comfortable attending in person?

Yes, an on-demand option will be available on the ASAM eLearning Center approximately 30 days after the conference. Due to resource constraints, simultaneous live-streaming is not feasible.

Where will future ASAM annual conferences be held?

The 2025 event will be held in Denver, Colorado, and the 2026 event will be held in San Diego, California.
